Why “if it isn’t broken” stops working

An unsupported phone system does not fail dramatically. It fails on the worst possible Tuesday, and then you find out the card you need has been out of production for four years.

The other risk is quieter. No security patches means a device sitting on your network that nobody is fixing. If you handle payment data or patient records, that is a compliance conversation, not just an IT one.

Migrating on your schedule costs a fraction of migrating in an emergency. That is the entire argument.

How a cutover actually goes

  1. Inventory

    We count extensions and hunt down every analog device still on the system: fax, paging, elevator phone, alarm dialer, credit card terminal, door strike. These are what break cutovers when nobody looks first.

  2. Network check

    PoE budget, switch capacity, bandwidth, VLANs. If the network cannot carry the calls, you hear it before you sign, not after.

  3. Build and stage

    Call flow, auto attendant, hunt groups, after-hours routing built and tested. Handsets arrive pre-provisioned and labelled by extension.

  4. Port and parallel run

    Numbers port on a scheduled date. The new system is validated while the old one is still up. Nothing gets decommissioned until calls are confirmed working.

  5. Train and hand off

    One session with the people who answer the phone. Documentation of what goes where, so the next person is not guessing.
